Academic records
Enrolment Services records your final grades, makes sure that you get written confirmation of your grades, and manages your transcript requests.
The AU Undergraduate Calendar outlines our academic records polices and related information.
Requesting a transcript
You can request a transcript online through myAU. You can also submit a Transcript Request form to the Academic Records unit of the Office of the Registrar by either fax or mail.
To request a transcript online, log into myAU. Select the "Request Transcripts" option under Student Record in the left-hand navigation menu. This service allows you to preview and print your transcript before it gets sent to the destination that you have specified.
Transcript request options
You may request that a transcript be sent to either yourself or a third party, via mail, courier, or fax (priority transcript service). There is a fee associated with both the courier and fax options. (Note: due to Covid-19 - AU is not currently sending transcripts by courier or fax).
More information about transcript requests can be found in the Calendar.
For more information about your transcript, contact the Information Centre at 1-800-788-9041. You can also send an email to the Academic Records unit at acrec@athabascau.ca.
COVID-19 exception
Due to COVID-19, AU is sending transcripts by email. Please confirm the other institution will accept an email transcript. You may request a transcript online through myAU and we will process it overnight.
Viewing your grades online
To view your individual assignments, exam marks, or final grades online, log into myAU. Select the "Check Your Grades" option under Student Record in the left-hand navigation menu.
If you have questions about your grades, contact your course assistant (i.e., tutor, academic expert, etc.) or AU's Information Centre.
Who has access to my academic records?
AU keeps academic records confidential. We do this in accordance with the Alberta Freedom of Information and Protection of Privacy (FOIP) Act. In most cases, we will not release information to third parties without the explicit consent of the student. Exceptions, which include legal investigations and fine or debt collection, are explained in the act.
All other information requires that a student complete a Release of Information Waiver. This indicates who AU may release information to, and what information we may provide.
A student must print off the form, provide the necessary information, and return the signed form to AU. Then, the Academic Records area may release information only to the parties indicated.
This document from the FOIP website gives more information about the Freedom of Information Act and how it applies to post-secondary institutions.
Changing your student information
You can make changes to your student information online through myAU. You can also email the Academic Records unit at acrec@athabascau.ca.
To change your information online, log into myAU. Choose "Change Your Personal Information" under Student Record in the left-hand navigation menu.
If you need to change your name, you must submit a Student Change of Information Form to the Academic Records unit of the Office of the Registrar. Submit this form via fax or regular mail.
If you need help, contact the Information Centre at 1-800-788-9041. You can also email the Academic Records unit at acrec@athabascau.ca.
Course letter grades
Undergraduate students can use AU's undergraduate grading scale to change numerical to letter grades. Graduate students can use AU's graduate grading scale.
Appeals
Students may appeal decisions and actions including:
- grade assignment, evaluation and assessment of transfer credits
- institutional policies and procedures which do not directly impact assignment of grades
- assignment of penalties resulting from decisions made under the Student Academic Misconduct Policy
Appeals can be submitted to the Office of the Registrar through the Online Appeals form.
You can find more information about AU's appeals process in the Student Appeals Policy.
