Purpose
This manual is to show users how to give signing authority to people
within their departments.
Definitions
AUSA- Athabasca
University Signing Authority application.
Delegate- The person who is given the signing authority.
Wildcard- A character that stands for one or more unspecified
characters. In the case of this application the percent % and underscore _ are wildcards.

Getting Started
In order to use the AUSA application, you will have
to be authenticated
using the same login name and password for other online applications
such as
online payroll or PD funds.
Bookmark the AUSA
online application for further reference and
usage.
Viewing Signing Authorities
When the AUSA page first loads, it will show a web form that has only
two available options and a disclaimer at the bottom. The
first option is to view signing authority delegates that have not
expired by exceeding the current date or all delegates both expired and
non-expired. The second option is a drop down menu to select the
department if more than one is available. The results are
displayed when the Submit
button
is clicked. The screenshot below
shows this form.

Adding/Editing Delegates
Once a list has been loaded, you can edit current delegates or create
new ones. The delegate's username is shown and their full name
can be located from the phone listing.
The GL Codes cover five elements separated by a period. The
percent %wildcards means that
someone has a range over that element. For example, the GL Codes
%.72.%.%.% give the delegate full signing authority for department
72. This replaces the old method of uses the X character.
To edit a current delegate, click on their user name which will forward
the user to the signing authority form. The screenshot below
shows a list of delegates for the Financial Services department.

Editing or adding a delegate is very straight forward. The
screenshot below shows a form for giving a signing authority to a
delegate. The rules are as follows for completing this form:
- To give an entire range of an element, leave the field blank or
use the percent % symbol as a
wildcard. If you wish to have a limited range with a single character,
use an underscore _ (e.g.
4509-4599 becomes 45_9).
- Leave the amount blank if you wish to have the maximum amount
which is currently $25,000.
- The start and end dates can be left blank for an indefinite time
span. If the delegate discontinues employment, then the
supervisor must set an expiry date.
- The Signing Authority ID must be the person's user name of their
email address without the @athabascau.ca. Please search the phone listing
to find the appropriate ID.
- The priority is used when there are more than one delegate to
range of GL codes. The priority is in ascending order, so if
delegate X has priority 1 and delegate Y has priority 2 over the same
GL code, then delegate X is preferred over delegate Y for signing.

Only by clicking Save button
will complete the process. Once this is done, the user will be
forwarded back to the signing authority view screen.
